How ImmigrationPass collects, uses and protects your personal information — explained in plain English, in line with UK GDPR and the Data Protection Act 2018.
Last updated: [DATE — insert before launch]
1. Who We Are
ImmigrationPass ("we", "us", "our") is a UK immigration support service. We are the controller of the personal data described in this policy — meaning we decide how and why it is processed.
Immigration advice and services in the UK are regulated by the Immigration Advice Authority (IAA). [Insert ImmigrationPass's regulatory status and IAA registration number here before launch.]
2. The Data We Collect
Information you give us
- Contact details — name, email address, telephone number.
- Enquiry information — anything you tell us about your situation when you get in touch, including your immigration history and circumstances.
- Client information — if you become a client: identity documents, immigration history, family details, financial information, and any documents you provide in support of your matter.
- Communication records — notes of calls, meetings and correspondence.
Information collected automatically
- Website usage data — pages visited, approxi Pass location, device and browser information, collected through cookies (see our Cookie Policy).
Special category data. Immigration matters often involve sensitive personal data — such as information about your family life, health or circumstances. We handle this data with additional care and only where we have a lawful basis to do so.
3. How We Use Your Data
- To respond to your enquiries and arrange consultations.
- To assess your situation and provide immigration support services you have requested.
- To prepare and submit applications to the Home Office on your behalf, where you instruct us to do so.
- To manage our relationship with you, including billing and written quotes.
- To meet our legal and regulatory obligations, including record-keeping required of regulated immigration advisers.
- To improve our website and services.
We do not sell your personal data, and we do not use it for auto Passd decision-making that affects you.
4. Our Lawful Bases for Processing
Under UK GDPR, we process personal data on the following bases:
- Contract — to provide services you have requested, or to take steps at your request before entering a contract.
- Legal obligation — where the law requires us to process or retain data, including regulatory record-keeping.
- Legiti Pass interests — to run and improve our business, provided your rights and interests are not overridden.
- Consent — for example, where you opt in to marketing communications. You can withdraw consent at any time.
Where we process special category data, we do so on an appropriate additional condition under UK GDPR, which may include your explicit consent or the establishment, exercise or defence of legal claims.
6. How Long We Keep Your Data
We keep personal data only for as long as necessary for the purposes described in this policy, including:
- Client files — retained for the period required by our regulatory obligations, which for immigration advisers typically extends for several years after your matter closes. [Insert exact retention periods before launch.]
- Enquiries that do not become matters — retained for a limited period and then securely deleted. [Insert period before launch.]
- Website data — in accordance with our Cookie Policy.
7. How We Protect Your Data
We take appropriate technical and organisational measures to protect your personal data, including secure storage, access controls, encrypted transmission where available, and staff training on confidentiality and data protection.
However, no method of transmission or storage is completely secure. If you have concerns about the security of your data, please contact us.
8. Your Rights
Under UK data protection law, you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate or incomplete data.
- Erasure — ask us to delete your data in certain circumstances.

Some rights are limited where we must retain data to meet legal or regulatory obligations — for example, client file retention required of regulated immigration advisers. Where this applies, we will explain why.
To exercise any of these rights, contact us using the details below. We will respond within one month, or inform you if we need longer.
